Dissertation Abstracts

We have a new full text database of dissertations and theses from UMI. When we receive a dissertation/thesis request, we should run it through there first before sending the request out on OCLC.

To find it: Go to the Databases page. Type in “Dissertation Abstracts” in the Find Database box. This will give you a link to click. Enter the title in and there it is. We can then save the dissertation with the ILLiad TN number and post it on the server using FileZilla. Then email the patron that you found it “Full Text @CCSU”.

New Borrowing Procedure: reQuest

In an effort to save some money, be sure to check reQuest first for materials that our patrons need.

1) Find the ISBN number and enter it into the request form in ILLiad.
2) Pick five libraries who are ILL Lenders in reQuest and leave that in a note in the record.
3) Under the OCLC information, change the System ID from OCLC to ISO. [Save changes]
4) Then, select [Route] to [To Other Request Processing]

I will then take it from there.

CCSU Theses and Dissertations

For Lending purposes and for all NON-RECIPROCAL libraries:

Full text thesis or dissertation: If we are only sending a link the cost is: $15 charge.

SCANNED COPY of thesis or dissertation, then we charge $15 for the first 20 pgs and $.25 per page thereafter.

Update it in ILLiad as follows:
1) Go to Search Stacks/Update Stacks Search: enter the TN number

a. IF sending a link: select FOUND & apply the $15 charge.
b. IF we are scanning, count the pages. Calculate this and be sure the lending library’s max cost can cover the charge. Enter the number of pages, into the “Pages” box on the update page, select found and finish the billing.  Send the item to the back room to be scanned.

Then if sending the link:
2) Go back to EDIT, search for the record. Select EMAIL “Full Text Thesis/Dissertation”
3) In Consuls find the link to the document, copy it and paste in to the email, then hit send.

Auto Hot Keys UPDATE

The AutoHot Keys will now automatically open when you turn on your computer! The new list of keys is as follows:

[F1] BOUND
[F2] CURRENT
[F3] SCIENCE DIRECT
[F4] IFM
[F6] MICROFILM
[F7] RARE BOOKS
[F8] COPIES ONLY

ILLiad and ISO

Remember that email from the University of Tennessee about ISO requests from AGent not downloading into ILLiad?  Well, we had similar problems.  As a matter of fact, Tracy at UT and I are still comparing them.  Thursday morning, reQuesthad 66 Pending.  I sent an email to OCLC ILLiad Support and by mid morning on Friday they had restarted the ISO service and our ISO Manager.  It appears that it was dead in the water all this week (Jan 19-23).  Requests were still getting through as of Friday, Jan 16, though updates were scattered.  I am not sure they all got through.

So far, it appears that we lost only five requests due to aging on the system, since the ILLiad did not send our updates until Friday morning. There may be more errors, I am keeping an eye on them.
IF you notice a day go by without any ISO requests, tell me!  I think we can consider it rare that we would ever not get any.  And I can honestly say that I don’t remember whether we saw any on Tuesday or not.

AutoHot Keys

I have added some “Auto Hot Keys” to be used with ILLiad Lending on each of your computers. Currently there are only four, though I plan on adding three more.

Of the keys that have been set:
F1=BOUND
F2=CURRENT
F3=SCIENCE DIRECT
F4=IFM

There seems to be a bit of a problem that the keys need to opened every morning. Click on the keys in the AutoHotKey folder and watch them appear on the task bar down on the right. If you don’t see them there, they won’t work. I am still working on that problem and hope to have it resolved soon.

ALA and NLM forms added to BORROWING

I have added two email forms to ILLiad in Borrowing. These can be used when libraries are in non-Lender status. We have a few requests that I could try now, since some libraries have gone lower-case for the holidays.

To send an ALA form to a library that is not in lending status in OCLC.
1) Enter the OCLC symbol in the Lending String box.
2) Select OTH for the system ID.
3) Click on EMAIL.
4) Paste the lending library’s email address into the “To” field.
5) Click on SEND.

The same instructions pertain to a request to NLM, (aka:The National Library of Medicine) The only difference is that when you put NLM in the lender field and select email, the NLM form will have their email address already in the “To” field.

UPDATING Journals

Since the holidays are coming and we are not going to have as many students for as many hours, we should go to plan B on updating the journals.

EFFECTIVE immediately until the first week in February, we will update all journal requests before they go into the back office.

OCLC Policy Directory and World Cat Registry

It has always been a problem that the OCLC Policy Directory has not been fully updated.  The next time you are in there looking up a library and you don’t see the address information that you need, try clicking on the World Cat Regsitry link at the bottom of the entry.

Two things might happen.  You might come to the acutal library’s record, or you  might end up at the main page of the registry.  If you end up there, click on ADVANCED SEARCH and enter the OCLC code in the box.  My guess is that the World Cat Registry will eventually replace the Policy Directory in the future.
