Expiration dates in Alma

Unlike Millennium, patron records loaded from Banner into ALMA cannot have their expiration dates changed by us.   As a result, the consortium has  constructed a work-around

Students records will be loaded on the following schedule:

  •  Fall Semester students on August, 1 of every year.
  • Winter  Semester students on December, 1 of every year.
  • Spring Semester students on January, 2 of every year.
  • Summer Semester students on May, 1 of every year

The ALMA expiration dates will move out to the following dates:

  • Fall 2017 Semester Students: End of Term Date + 120 days: April, 16.
  • Winter 2017 Semester Students: End of Term Date + 120 days: May 12, 2018
  • Spring 2018 Semester Students: End of Term Date + 120 days: September 10, 2018
  • Summer 2018 Semester Students: End of Term Date + 120 days: December 22, 2018

As we move forward, these dates will shift depending on the end of term date, but probably not by much.

Faculty/Staff records will be loaded on the following schedule:

If the faculty member is in the weekly report of active employees in CoreCT, or if they are still not there, but have started less than 3 months ago and have a course to teach assigned to them in Banner, they will be loaded daily.

Expiration dates will change on September 1 every year to the next December 31, in the next calendar year.

For example:  On September 1, 2018, the faculty/staff expiration will change to December 31, 2019.

We are doing this to help aid in renewing items closer to the patron record expiration date.

Center for Student Athletes gates and alarms

This weekend we were reminded about the gates that exist in the Center for Student Athletes.  There are two.  One is alarmed, one is not.  Since this topic does not come up often, I am putting the information here in the hopes of spreading the word.

  1.  The elevator gate:  The South elevator has a gate when the doors open on the Stack side of the building.  It is NOT locked, but is usually closed.  If a patron needed to, they could gain access if no other elevator doors open.  We do NOT have a key for this gate.
  2. Stack 2 Stairwell to the Center for Student Athletes:  There is a locked gate here too.  The stairwell is used as emergency egress out of Stack 2.  It is pretty much redundant now that Stack 1 on the north side of the building is open.  But, if the gate is opened, an alarm will go off.  The BIG BLUE KEY in the Keybox turns this alarm off.  This gate will always be LOCKED.  We do not have a key for the lock, either.

CCSU Smoking Policy links

We had our first report of a student ‘vaping’ in the library today.  So, I wanted to bring to your attention the campus Smoking policy along with a clarification on the subject of ‘vaping’.

University Smoking Policy – with locations of Smoking areas

Because the subject of ‘vaping’ has arisen in the past, the topic was addressed in the January 30, 2015, University Health and Safety Committee meeting.   From the minutes of that meeting, Dr. Richard Bachoo advised that e-cigarettes are considered the same as traditional cigarettes for the purpose of the No-Smoking Policy.

Also at that meeting it was also reported that were had been approximately 2-3 e-cigarette related fire alarms that week alone.

Media Center Equipment

As we all know, patrons will stop in here after hours to drop off the Media Center equipment.

DO NOT take any of it back.  Apologize profusely, but they need to return it to the Media Center:  Monday-Thursday:  8am-5pm, Friday, 8am-4pm.

I know, it is a difficult situation, but I do not want any of us responsible for their very expensive equipment:  film or video cameras, projectors, etc.

Alma and RENEWALS

I have tinkered with the renewal profile for all of the books/media in the stacks.  I decided to open it up and allow unlimited renewals for these materials in the hopes that we actually can get some renewal statistics.  (I didn’t have any for the annual report, since we spent lots of time changing the due date, because the renew feature was not working properly.)

So, for the last week, every time I have attempted to renew something, it has worked perfectly, regardless of patron group (Faculty, Undergrad, Grad, etc.)

Alma still will stop a renewal if the patron’s expiration date is too close, that I cannot fix.  But, other than that, it appears to be working ok.  Let me know if you encounter any issues.

Quick Alma Searching Tip

In the ALL TITLES search box next to the Big Blue Alma Button, you can directly scan in our barcode to pull up the title of anything.

This also works with the ISBN barcode on the back of every paperback in the collection, and with OCLC numbers.

Incorrect item sent from CSCU Library. What to do?

A patron comes to the desk to pick up a consortial loan and discovers that it is the incorrect item and they don’t want it.  What do we do?

1)  Go to the ACTIVE HOLD SHELF link

Presentation1

2)  SEARCH the Active Hold Shelf by either Requester name, title, etc.  search1

The last thing to do is the Scan in items to put it back in TRANSIT to the home library.

How to Remove and Mark Items as Missing on Hold Shelf

Sometimes, an item needs to be removed from the hold shelf for one reason or another (i.e. the patron no longer needs it anymore; it’s not the book the patron wanted; etc.). Here’s how you cancel an item already on the hold shelf (NOTE: This only applies to CCSU items for CCSU patrons):

1. Go to Active Hold Shelf under Fulfillment<Resource Requests.

2. Find the item you want to remove from the hold shelf. Click on Cancel Request.

3. Select Cancellation Reason. Make sure box to Notify User is checked (unless not needed).

4. Click on Confirm. The item can be removed from the hold shelf and put on a cart to be re-shelved.

If the item is missing from the hold shelf:

  1. Go to Active Hold Shelf under Fulfillment<Resource Requests.
  2. Find the item missing from the hold shelf. Click on Mark as Missing.
  3. When the system asks “Are You Sure?,” say yes.
  4. A notice will be automatically sent to the patron that the hold was canceled because the item is missing.
